Admission season brings a flood of enquiries: phone calls, walk-ins, website forms, WhatsApp messages, referrals. Many schools track them in a notebook or a spreadsheet, and some simply don't track them at all. The result is predictable. Families who enquired and heard nothing for a week have already visited two other schools.
Step 1: Capture every enquiry in one place
An enquiry is only useful if someone can follow it up. Whatever the source, it should end up in one list with:
- Parent name and phone number
- Child's name, age and class sought
- Source — website, walk-in, referral, social media, newspaper ad
- The date, and who's responsible for following up
Recording the source matters: by the end of the season you'll know which channels actually produce admissions.
Step 2: Respond the same day
Speed matters more than polish. A quick call or message the same day — thanking the family and offering a campus visit — shows the school is organised and interested. Families compare schools partly on how they're treated before admission.
Step 3: Follow a simple pipeline
Move each enquiry through clear stages:
- New enquiry
- Contacted
- Campus visit scheduled / done
- Application submitted
- Assessment / interaction (if your school does one)
- Offer made
- Fees paid — enrolled
A pipeline shows exactly where families drop off. If many visit but few apply, look at the visit. If many apply but few pay, look at fees or the offer process.
Step 4: Set follow-up reminders
Every enquiry should have a next action and a date. "Call back Thursday after they've discussed it." Automatic reminders stop good leads going cold just because the counsellor was busy.
Step 5: Make applying easy
A 14-page PDF to print, fill and bring back loses families. An online application form they can complete on a phone, with document uploads, keeps them moving. Our guide to modern online admissions covers what a good flow looks like.
Step 6: Collect the admission fee online
When a family is ready to commit, let them pay immediately — by UPI, card or net banking. Delays at this final step lose more admissions than schools realise. See UPI for school fees.
Step 7: Turn the enquiry into a student record
When an applicant enrols, their details should flow straight into the student record — no re-typing. That's where a combined CRM and ERP pays off, as explained in School ERP vs School CRM.
Review after the season
Once admissions close, look at the numbers: enquiries by source, conversion at each stage, and time to first response. Those three figures tell you exactly what to improve next year.
