School ERP vs School CRM: What's the Difference (and Which Do You Need)?
← All posts

Vendors use "school ERP", "school CRM" and "school management software" almost interchangeably, which makes comparing products confusing. The terms do mean different things, and understanding the difference helps you ask better questions in a demo.

What a school ERP does

ERP — enterprise resource planning — is about running the institution itself. In a school, that typically means:

  • Student records, classes and sections
  • Fee structures, collection and accounting
  • Attendance, timetable and exams
  • Staff records, payroll and leave
  • Library, transport and inventory

An ERP's users are mostly inside the building: the office, accounts, teachers and the principal.

What a school CRM does

CRM — customer relationship management — is about the people outside the building: parents, prospective families and the wider community. In a school that means:

  • Admission enquiries, follow-ups and conversions
  • Parent communication — circulars, alerts, broadcasts
  • Parent-teacher meetings and feedback
  • Support tickets and parent queries
  • Engagement: who reads messages, who pays on time, who needs a nudge

Why the split doesn't work in practice

Here's the problem with treating them separately: almost every parent interaction depends on ERP data. A fee reminder needs the fee ledger. An attendance alert needs the attendance register. A PTM booking needs to know which teacher teaches which child. When the ERP and CRM are different systems, someone in the office ends up exporting lists from one and importing them into the other — and the two quietly drift apart.

That's why the useful question isn't "ERP or CRM?" but "does one system hold the data and talk to parents about it?"

A quick test for any product

During a demo, ask the vendor to do these three things live:

  1. Mark a student absent, and show the parent's phone receiving the alert.
  2. Record a fee as overdue, and show the reminder going out — and the payment closing it.
  3. Log a new admission enquiry, and show where the follow-up reminder appears.

If any step needs an export, a second login or "our partner app", you're looking at two systems wearing one logo.

Where the CRM side pays off most

Admissions. Enquiries that aren't followed up within a couple of days rarely convert. A CRM that tracks every enquiry and reminds the counsellor is often the fastest return on investment — see our admission season playbook.

Fee collection. Polite, automatic, well-timed reminders recover more fees than phone calls — and nobody has to make the awkward call. More in reducing fee defaulters.

Parent trust. Parents who get consistent, timely updates call the office less and complain less. Channel choice matters, as our analysis of WhatsApp vs push vs email shows.

So which do you need?

Both — in one product. Schoolo was built as a school CRM with full ERP underneath, so the office, teachers and parents all work from the same records. If you're comparing options now, our buyer's guide to school management software lists the twelve questions worth asking, and the comparison page shows how Schoolo stacks up.
