In many schools, payroll is a monthly ritual run by one person with one spreadsheet. They collect staff attendance from a register, leave applications from a file, deductions from another sheet, then calculate each salary by hand. It works as long as that person is available and nothing unusual happens. The moment a mid-month joiner, an unpaid leave or a salary revision comes along, errors creep in.
The three pieces that need to connect
- Staff attendance — who was present, absent or on leave each day.
- Leave — applications, approvals, and each person's remaining balance.
- Payroll — salary structure, allowances, deductions and the final payslip.
When these live in separate places, someone has to reconcile them every month. When they're connected, payroll largely calculates itself.
Leave management that doesn't need a file
- Staff apply for leave from their phone, choosing the leave type.
- The principal or HOD approves or declines in one tap.
- Balances update automatically, and staff can see their own.
- Approved leave shows up in attendance and in the timetable, so substitutions can be arranged early.
Payroll in a few steps
- Set up each staff member's salary structure once — basic pay, allowances, standard deductions.
- At month end, attendance and approved leave flow in automatically.
- The system calculates each salary, including any unpaid leave.
- Review, adjust exceptions, then generate payslips.
- Export a bank file so salaries can be paid in bulk rather than one transfer at a time.
Payslips staff can access themselves
Staff often need payslips for loans, rent agreements or visa applications. When they can download them from their own app, the accounts office stops receiving those requests.
Statutory deductions
Depending on the school's size and location, payroll may involve deductions such as provident fund, ESI, professional tax and TDS. Rules and rates change, so check current requirements with your accountant and make sure your software's settings reflect them.
Keep salary data private
Salary information is sensitive. Access should be limited to the people who process payroll, with each staff member seeing only their own payslip. Role-based access — item two on our data security checklist — matters especially here.
In Schoolo
Schoolo's staff module connects staff attendance, leave requests and approvals, and payroll with salary structures, payslips and bank file export. It's one of the reasons schools can drop separate tools — see 5 tools your school probably doesn't need anymore. For the bigger picture of who does what, read School ERP vs School CRM.
