A parent arrives at the office needing a bonafide certificate for a passport application, by tomorrow. Someone opens a Word template, types in the student's name, class, date of birth and admission number from the register, prints it, gets it signed and stamped. Twenty minutes, if the register is nearby. Multiply that by every certificate request in a year, plus a full set of ID cards every session, and the office spends days on documents built from information it already holds.
The documents schools produce most
- Transfer certificates (TCs) and leaving certificates — when a student leaves.
- Bonafide certificates — proof of enrolment for passports, scholarships, bank accounts.
- Character and conduct certificates.
- Student and staff ID cards — every session.
- Fee receipts and fee certificates — for tax or reimbursement.
- Report cards — every term.
Why typing them is risky
A TC with a misspelled name or a wrong date of birth causes real problems for the family later — at the next school, or years on in official records. Each time data is re-typed, there's a chance of error. Generating documents straight from the student record means the details are only ever entered once, at admission.
How generation works
- Set up each template once, in your school's format, with your logo and signature fields.
- Pick the student and the document type.
- The system fills in the details from the student record and produces a print-ready PDF.
- Print, sign and stamp — or share digitally where accepted.
A request that took twenty minutes takes under one.
ID cards in bulk
ID cards are the same idea at scale: select a class, and the system lays out every card with photo, name, class, blood group and emergency contact, ready to print. If cards carry a QR code, the same code can be used for QR attendance on the bus or at the gate.
Keep a record of what was issued
A digital log of every certificate issued — what, when, to whom — helps with audits and with duplicate requests. For TCs in particular, a numbered register matters.
Start with clean data
Generated documents are only as good as the student records behind them. If you're moving from spreadsheets, the cleanup step in our seven-day migration playbook is where spellings and dates get checked once, properly. And good data starts at admission — see our guide to modern online admissions.
