Schoolo provides a School Management CRM to educational institutions (“Schools”). In this context, the School is the Data Controller, and Schoolo is the Data Processor. We process data only as instructed by the School to provide our services.

2. Information We Collect

We collect information in three ways:

  • Information Schools Provide: To set up an account, we collect administrative details like school name, address, contact person, email, and phone number.

  • Data Processed on Behalf of Schools: Schools upload or collect data through our platform, including:

    • Student/Parent Data: Names, DOB, gender, contact details, academic records, and transport info.

    • Staff Data: Names, attendance, and payroll details.

    • Financial Data: Fee payment history and transaction records.

  • Biometric/AI Data (Attendance): If the school uses our AI Face Attendance or QR Attendance, we process facial templates or IDs solely for the purpose of marking attendance. We do not store raw photos unless requested by the school for profile records.

  • Log Files: Like most websites, we collect standard log information (IP address, browser type, date/time stamps) for security and performance monitoring.

3. How We Use Your Information

We use the collected data to:

  • Provide, operate, and maintain the Schoolo CRM.

  • Improve user experience and troubleshoot technical issues.

  • Facilitate automated communication (SMS/Email/Notifications) between schools and parents.

  • Process fee payments securely via third-party gateways.

  • Comply with legal obligations and prevent fraudulent activity.

4. Data Security

We implement industry-standard security measures including:

  • Encryption: Data is encrypted at rest (AES-256) and in transit (SSL/TLS).

  • Cloud Hosting: Our data is stored on secure, reliable cloud servers with 24/7 monitoring.

  • Access Control: Role-based access ensures that only authorized staff (Admin, Teacher, Parent) can see specific data.

5. Third-Party Services

We may share data with third-party providers only when necessary:

  • Payment Gateways: To process online fees.

  • SMS/Email Gateways: To send school alerts and updates.

  • We do not sell, trade, or rent personal data to third-party marketing companies.

6. Data Retention

We retain personal data as long as the school maintains an active subscription. Upon termination of the contract, data is returned to the school or deleted as per the agreement, except where retention is required by law.

7. User Rights

Under various data protection laws (like India’s DPDP Act or GDPR), users have the right to:

  • Access the data stored about them.

  • Request correction of inaccurate information.

  • Request deletion of data (subject to school and legal requirements).

  • Note: Since the school controls the data, students or parents should first contact the school administration to exercise these rights.
